Sponsorship Proposal

4X4 Trail Ride to benefit the Martinsburg Fire Department

Introduction to Twisted Axles Four Wheel Drive Club

Twisted Axles 4WD club is a not for profit organization of 35 members from the Central New York area formed in 1999.   Our membership is open to anyone interested in 4WDs.    Our current membership includes men and women in all walks of life- from homemakers to engineers to retirees.   The club’s goal is to help promote safe and responsible four wheeling, emphasizing the Tread Lightly Program. The club also helps with community volunteer programs.   We currently assist Meals on Wheels by filling in for normal drivers on snow days.    We have performed a coat and paper product drive for the VERA house.     We’ve also hosted this fund raiser/trail ride last 2 years.

Overview of the Event

For the third year our club would like to host a trail ride.  Registration will also be open to anyone with a 4-wheel drive vehicle.  The trail ride is intended to be very similar to a Jeep Jamboree, except vehicle registration is not limited to the Jeep brand.   Any 4WD vehicle is welcome from stock to fully modified.  The event will consist of a one-day trail ride followed by a dinner prepared by the local fire department.  Registration will begin Friday evening and continue the morning of the ride.  The expectation based upon last year’s results is that the event will draw approximately 95 vehicles and about 180 people. All of the proceeds from the event will go directly to the Martinsburg Fire Department.   This year’s event is planned for Saturday, June 12th.

What is a Trail Ride

A trail ride consist of 4 wheel drive vehicles driving through the woods on single path dirt roads.   These roads are not passable in 2 wheel drive vehicles and have many obstacles like mud, rocks, trees, standing water and inclines.    Speeds on these trail rides are generally 5-10mph.

What about the vehicles

The vehicles for the trail ride will range greatly from 1950’s vehicles built for offroad purposes to 2004 vehicles right off the show room floor.   All vehicles are required to be registered, licensed, and insured.    All vehicles will be required to have seatbelts with occupants wearing the belts at all times.   All vehicles will be required to pass a safety inspection performed by the Twisted Axle Trail Guides.

Sponsorship Benefits

If the sponsor donates up to $99 (product or money) the sponsor will be verbally mentioned at opening and closing the event as well as being listed on the back of the event T-shirt with you logo.  The sponsor’s banners or logos can be posted at the event.  The sponsor can provide pamphlets that will be placed in the registration package.

If the sponsor donates $100 - $299, the sponsor is welcome to set-up an informational booth at the event.  The sponsor is also welcome to provide Twisted Axles with advertisements for the sponsor (i.e. stickers, pamphlets, catalogs, and a banner) which will be set-up at the event.

If the sponsor donates $300 or more, the Twisted Axles Club will place the sponsor’s logo on all advertising done for the event.   The sponsor is welcome to attend the event and set-up an informational and/or vending booth as well as participate in the event

What is needed from Sponsors

Twisted Axles is looking for monetary sponsorship or merchandise sponsorship.   Money will be used to pay for event insurance and advertising, so that this money is not subtracted from the donation to the Fire Department.    Merchandise sponsorship will be used as door prizes, and event prizes (i.e. Best Stuck, Best Breakage).  We need your decision by 4/1/03 to be included in the advertising.   So don’t wait.  Please contact your Twisted Axles Club Representative today to give support to this great event.

In Closing

Feel free to contact Brent or me with any questions or concerns you have regarding sponsorship or the event.  I look forward to working with you to make this a successful event.   The sponsor can also be added to the insurance waiver if required by the sponsor. Along with this sponsorship proposal you should have received a newsletter from last year’s event which should give you a better idea of the success of the event
